A matching program is a chain of handoffs. DuoGive keeps every link on one record, so nothing has to be re-typed, remembered, or reconciled later.

The donor gives
Your giving site lists agencies by category — children, education, health, veterans, animals, and so on — each with a mission statement and photo. The donor picks an agency or a category, chooses one-time or recurring, pays by card or PayPal, and can add an in-memory or in-honor note. A tax receipt goes out as soon as the payment clears.

The gift waits in review
Staff see new gifts in a queue with the donor, agency, amount, and any note. Match rules you set — ratio, per-gift cap, per-donor annual cap, per-agency cap — propose the match. You confirm, adjust, or decline with a reason. Legacy gifts from before the platform can be entered and matched the same way.

You forward the combined gift
Mark the check date and the forward is recorded. The agency receives a notice listing the donor's gift, the match, the check date, a corporate-gift flag if relevant, the in-memory or in-honor note, and the payment reference. The donor's record shows the match too.
And when it isn't that simple
The exceptions are where spreadsheets break. These are first-class in DuoGive.
- Refunds
- Refund a gift fully or partially; the match and forward records update, and the agency notice reflects it.
- Offline gifts
- Checks and stock gifts that arrive outside the website are entered by staff and matched on the same screen.
- Recurring gifts
- Each cycle bills on the day the donor started and lands in review as its own gift, with the subscription visible on the donor's account.
- Declined matches
- Record the reason — over cap, ineligible agency, donor request — and it stays on the gift for the audit trail and the agency notice.
- Corrections
- Reassign a gift to the right agency, fix a donor's details, or re-send a receipt. Every change is logged with who made it.
- Agencies that come and go
- Deactivate an agency and it disappears from the giving site but keeps its history. Merge duplicates without losing gifts.
Reporting that answers the board's questions
Gifts, matches, and forwards by agency, category, donor, and month. Export anything to CSV. Year-end statements for donors. The numbers reconcile to your payment processor because they come from the same records.
Switching from another tool
